Client Overview

MPWR Marketing is a full-service marketing agency powered by a team with deep experience on both the client and agency sides. Their strategy is built on a foundation of work organised into clear strategies, execution plans, and specific reporting processes. Rather than using one-size-fits-all marketing, they develop bespoke campaigns tailored to each client’s specific requirements, creating solutions designed to drive authentic growth.

The Goal

MPWR’s goal was to bring all their existing processes and workflows into one centralised system that would increase the team’s overall efficiency. As MPWR Marketing scaled, their internal systems struggled to keep up. To address these issues, the objective was to migrate all workflows into a single, high-performance system by transitioning everything to ClickUp. This implementation focused on centralising workflows into a unified workspace, applying automation to repetitive manual tasks to save time, and building dashboards to provide real-time clarity on assignments, deadlines, and project progress.

Challenges before IPM Software’s Involvement

Before collaborating with IPM Software, MPWR dealt with significant system friction that hindered productivity. Their primary hurdles included:

  • Scattered data: Work was spread across platforms, making progress tracking nearly impossible.
  • Manual overhead: Routine processes consumed hours that should have been spent on creative execution.
  • Lack of transparency: Timelines and team responsibilities were often opaque.
  • Stagnant infrastructure: Their existing setup simply couldn’t scale with the agency’s growth.
  • Fragmented Workflows: Their workflows were fragmented across multiple tools, which lead to Disconnected processes and manual handoffs and Limited visibility across the team’s output.

Our solution

IPM Software’s Structured Workflows in ClickUp

IPM Software redesigned the agency’s operations by building structured, scalable workflows within ClickUp, specifically tailored to their unique methodology. Our approach turned complexity into a streamlined engine for growth.

Structured Implementation Approach

Unified Workspace

Consolidating every workflow and client in one system to eliminate platform hopping.

  • Consolidating every workflow and client in one system to eliminate platform hopping.

Task Hierarchies and Portfolio Structure

  • Creating clear structures for projects, campaigns, and ongoing retainers
  • Ensured each clients’ data remains isolated while maintaining a high-level overview for leadership

This image shows the MPWR Clients Space with a structured portfolio-based workflow. Each client has a dedicated folder containing specific lists for Client Services, Ideas and Requests, and centralised meeting agendas to ensure clear organisation and visibility across all accounts.

Strategic Automation

Using tools like Make.com to bridge functionality gaps and eliminate manual entry.

Performance Dashboards

  • Custom-built views for tracking team performance and campaign health at a glance
  • Created admin dashboards to track tasks in each stage and see who is responsible for each item.

Results and Impact

The transition to ClickUp delivered immediate, measurable improvements to MPWR Marketing’s daily operations:

  • Total Centralisation: The team now operates from a single “source of truth,” eliminating the need to hunt through emails or spreadsheets.
  • Efficiency Gains: Automated triggers now handle manual task routing and follow-ups.
  • Enhanced Oversight: Real-time dashboards allow leadership to manage workloads and identify bottlenecks before they cause delays. Custom statuses that reflect the lifecycle marketing assets reduces the need for status update meetings.

This image features a Board View of an active client workspace, illustrating how marketing projects are categorised by status including Backlog, On Deck, Planning, In Progress. This setup allows for real-time tracking of specific campaign deliverables, such as social media content and newsletters, including subtask progress and assignee visibility.

  • Standardised Handoffs: Defined task dependencies have reduced miscommunication during cross-functional collaboration. Tasks are now held in specific states to ensure that nothing is published without a formal sign-off.

This image demonstrates a List View designed for operational execution. It highlights standardised task statuses such as On Hold, Reporting, and Approved, which allow for effective delegation and clear handoffs between team members. The view also centralises critical information like due dates, priorities, and internal documentation directly within the task structure.

Future Outlook

With ClickUp fully embedded into their culture, MPWR Marketing is now equipped to scale without the friction of the past. This future-proof foundation provides a scalable architecture that easily accommodates new clients and expanding service lines. It allows continuous optimisation so MPWR can refine and further automate processes as the agency evolves. They now have total control including high-level visibility that ensures quality and consistency even as the team grows.
